Informativa privacy dell'app Gestione timbrature

1. A cosa serve l'app e a chi è rivolta

2. Chi tratta i dati

6. I dati sul tuo telefono

7. Come proteggiamo i dati

8. I tuoi diritti

English version

Privacy notice of the Gestione timbrature app

Version 1.0 — 30/09/2026 | In case of doubt, the Italian text prevails.

1. The app and who it is for

The Gestione timbrature app is used by the employees of the client companies of Studio Giovanni Piccinni, an Italian labour consultancy firm, to record when they start and finish work. The app shows a QR code that the employee holds up to the reader installed by the employer at the workplace, and lets them see their own clock-ins. The app is not intended for the general public: an account created by the employer through the Studio is required, and there is no sign-up in the app.

The app and the reader are attendance-recording tools (art. 4(2) of Italian Law 300/1970): they record start and end times and do not monitor work activity.

2. Who processes the data

The data controller is your employer, as stated in the privacy notices it gave you (on hiring and for attendance recording); this page supplements them. Studio Giovanni Piccinni — Consulenza del Lavoro (Corso Matteo Renato Imbriani 210, 76125 Trani, Italy; VAT 06633990723; +39 0883 383835; clienti@studiopiccinni.it) provides the app and the attendance system on behalf of the employer and acts as data processor (art. 28 GDPR).

3. Data processed by the app

  • User name and password, to sign in. On the server the password is stored only in a non-reversible form; on the phone it is kept, encrypted, only if "Remember me" is on.
  • Device code: a random code created by the app on first launch (not the phone number, the IMEI or an advertising ID). It links the phone to the account, so that the QR code works on one phone at a time and nobody else can clock in for you. The server stores it with the dates of registration and last access.
  • QR key and employee number in the reader, stored encrypted on the phone, to generate the QR code, which changes every 30 seconds and works offline.
  • Clock-ins: date and time, in or out, and the reader and site that read the QR code. The "My attendance" page shows those of the last 31 days.
  • Technical connection data (IP address, date and time, requested address and outcome, type of device or program; for blocked sign-ins, also the user name), for security, including a temporary block after repeated failed sign-in attempts.

The app does not collect the phone's location (the current version does not use GPS), does not access the camera, microphone, contacts, photos or files, shows no advertising and uses no third-party analytics or tracking. It only needs Internet access and, on Android, vibration to signal errors.

4. Purposes, legal bases and retention

  • Attendance recording and management of the employment relationship, including the Italian payroll book (Libro unico del lavoro): performance of the employment contract and legal obligations (art. 6(1)(b), 6(1)(c) and 88 GDPR). Kept for the period required by labour law, as stated in the employer's privacy notices.
  • Sign-in and device link: legitimate interest in preventing others from clocking in for you, and security measures (art. 6(1)(f) and 32 GDPR). Kept for the duration of employment or until the phone is unlinked.
  • Service security (access logs, blocking failed attempts): legitimate interest (art. 6(1)(f) and 32 GDPR). Kept for 30 days.
  • Database backups: security measures (art. 32 GDPR). Kept for 30 days, then deleted.

The data is required to use the app. If you cannot or do not want to use your own phone, ask your employer how to record your attendance in another way.

5. Who can see the data and where it is kept

Your employer, through the people it has authorised (each company sees only its own employees), and the Studio, to run the service and process payroll. The data is kept on a server managed by the Studio and hosted by Aruba S.p.A. in a data centre in Italy. The data is not sold or disclosed to anyone else and is not transferred outside the European Economic Area. Google and Apple distribute the app through their stores and process download data under their own privacy policies.

6. Data on your phone and security

"Log out" removes the QR key from the phone; credentials saved with "Remember me" stay until you sign in with that option turned off; uninstalling the app deletes all its data from the phone. The app's data is excluded from the phone's automatic backup (Google or iCloud) and is not transferred to a new phone: on a new phone you sign in again with your username and password. Your employer can unlink the phone from your account at any time. Connections are encrypted (HTTPS), passwords are stored on the server only in a non-reversible form, data on the phone is encrypted, repeated failed sign-ins are temporarily blocked, each company sees only its own employees, and the database is backed up daily.

7. Your rights and account deletion

You can ask for access, rectification, erasure, restriction and portability, and object to processing based on legitimate interest (arts. 15–22 GDPR), by contacting your employer (the controller) or writing to clienti@studiopiccinni.it. You can also lodge a complaint with the Italian data protection authority (www.garanteprivacy.it).

Accounts are created and deleted by the employer through the Studio and are deactivated when employment ends. To request deletion, contact your employer or write to clienti@studiopiccinni.it with your name and company. Deletion removes the account and the device link; clock-ins are kept for the period required by labour law, because the employer must keep them.

8. Changes

If the app changes the way it processes data, for example with new features, this page will be updated before they are enabled, with the date of the new version at the top.
